How to Send Notices to All PG Tenants on WhatsApp and Email

PG notice management software lets owners broadcast announcements — maintenance windows, rent-day changes, water supply issues, festival timings, rule updates — to all tenants or selected rooms over WhatsApp and email from a single screen. In TrackMyPG, a notice stores a title, a rich-text body, and an audience rule rather than a fixed list of names, so recipients are resolved from live tenant data at the moment of sending. Owners can save drafts, schedule notices for a future time, watch live delivery progress, and open a per-tenant delivery log showing exactly who received the message and who did not. Messages are charged only on successful delivery, and no tenant is ever messaged twice, even if a send is retried or the server restarts mid-broadcast.

The tanker is coming at four instead of eleven. The lift will be shut on Sunday morning. Rent day has moved because the bank is closed. Dinner on Diwali is at eight, not nine.

None of these are big announcements. But they are constant, and getting them to every resident is one of the most frustrating parts of running a paying guest accommodation. Most owners handle it the way they always have: type it into the PG WhatsApp group, print a copy, tape it near the staircase, and hope.

That approach survives about forty beds. After that it quietly falls apart, and you usually find out during an argument.

This guide is about a better way to send notice to all PG tenants without chasing anyone. We will look at why the group-chat method fails, what changes when your announcements come out of the same system that already holds your tenant records, and how the notice feature inside TrackMyPG works from an owner's point of view.

Why Announcements Are Harder Than They Look

Talk to an owner running sixty beds in Bangalore or Pune and the same complaints come up every time.

Not everyone is in the group. Tenants move in every month. Someone adds them, someone forgets. A year later your "all tenants" group has thirty-eight people and the property has fifty-nine.

The ones who are in it have muted it. Between roommate disagreements, food polls and forwarded morning greetings, an important message disappears in about a minute.

You cannot message just a few people. A message meant for the four tenants on the second floor goes to everyone, so residents learn that most messages are not for them, and stop reading altogether.

Old tenants never leave. People who checked out in March are still reading your internal announcements in September. That is a privacy issue, not just untidiness.

You have no proof. When a resident insists nobody told them the water would be off, a screenshot of a busy group chat is not much of an answer. And that conversation is rarely really about water. It usually surfaces during a deposit deduction.

Everything depends on you remembering. If a notice has to go out at nine tomorrow morning, someone has to be awake and available at nine tomorrow morning.

Individually these are small. Across three properties they add up to the thing every owner recognises: a constant low hum of miscommunication that you fix by repeating yourself.

The Real Cost of a Notice Nobody Saw

Missed announcements do not stay harmless for long.

A tenant who did not know about the water shutdown calls a plumber and asks you to reimburse it. A tenant who did not know rent day shifted gets marked late, argues, and you waive the fee to keep things civil. A tenant who did not hear about the pest control visit leaves the room locked, and you pay for a wasted appointment.

Then there is the version every owner dreads: a checkout dispute where the resident claims they were never told about a rule, a charge or a deadline. Without a record, that argument almost always ends with the owner giving in.

Three or four of these a month is not a crisis. It is just a slow leak, in money and in goodwill, and eventually it shows up in your reviews.

Announcements Belong Inside Your PG Management Software

Here is the part most owners miss. The problem is not that WhatsApp is a bad place to send messages. The problem is that WhatsApp does not know who your tenants are.

Your group is a list you maintain by hand. Your property is a living thing where people arrive and leave every month. Those two will never stay in sync, no matter how disciplined you are.

TrackMyPG is PG management software that handles rooms, tenants, rent, invoices and move-outs. Because all of that already lives in one place, announcements become almost effortless: you describe who you want to reach, and the software works out who that is right now.

You are not picking names from a list. You are saying "everyone currently staying here" or "the tenants in rooms 101, 102 and 205," and the correct people receive it.

Which means:

  • A tenant who moved in yesterday gets the notice. Nobody had to add them anywhere.

  • A tenant who moved out last week does not. Nobody had to remove them.

  • The same announcement, sent again next season, reaches next season's residents.

That is the whole idea. Everything below is just the practical side of it.

Sending a Notice in TrackMyPG

Notices sit under Settings → Communication → Notice in your dashboard. You will see a button to create a new notice, a searchable list of everything you have sent so far, and a delivery record you can open any time.

Owners have access automatically. If you have staff or a manager on your account, they can be given permission to send notices for the properties assigned to them, so you are not the only one who can put out an announcement.

Step 1: Decide who it is for

The first choice is whether you are addressing tenants or short-stay guests. Then you pick which ones.

Option

Who receives it

Everyone in this PG

All current residents, including those serving notice period

Active tenants only

Residents who are not on their way out

Specific rooms

Only the residents of the rooms you select

By status

Residents matching the status you choose

One thing worth knowing: former residents simply cannot be selected. Past tenants and rejected applicants are outside the audience entirely, so an old resident can never accidentally end up on your announcement. That alone removes the most awkward failure of the group chat.

If your property takes short-term stays, there is a separate option for guests, either all current guests or guests in particular rooms. Handy for hostels in Delhi or Goa where a large part of the building turns over every week.

Step 2: Check the number before you commit

As you change the audience, the screen shows a live count: "will reach 47 tenants."

Glance at it every time. It takes two seconds, and it is the single best protection against a floor-specific message accidentally going to the entire property. If you meant to message one wing and the count says fifty-nine, you caught it before anyone did.

Step 3: Pick WhatsApp, email, or both

A notice can go out on WhatsApp, email, or both together.

Residents who told you they prefer email only will get it on email only, even if you selected both. That preference sits on their tenant record and applies to everything the platform sends them, so you are never overriding what someone asked for.

For anything operational, send on both. Water, power, maintenance timings and rent-day changes are exactly the messages people later swear they never received.

Step 4: Write it so it actually gets read

You get a normal editor with bold, italics, headings, bullet points and links. The title can run to 150 characters and the message to 5,000, which is far more than you will ever need for an announcement.

Two things are worth knowing about how it appears at the other end:

On email, your title becomes the subject line alongside your PG name, and the message arrives in a clean layout with your property's contact details at the bottom. On WhatsApp, the title is the first line the resident sees, and the message is delivered in the short, tidy format WhatsApp requires for business messages.

Which leads to the most useful advice in this entire article: write the title as though it is the whole message.

"Lift maintenance, Sunday 9 AM to 1 PM" tells a resident everything they need even if they never open it. "Important notice" tells them nothing, and they will scroll past it.

Step 5: Send it now, save it, or schedule it

Three options, and each has its moment.

Save as draft when the message needs a second look. Rent revisions, rule changes and anything about money deserve one. A draft goes nowhere until you send it.

Schedule when you already know the message but not yet the moment. Pick a date and time, and it goes out on its own, whether or not you are logged in. This is the option most owners underuse. Monthly deep-cleaning reminders, festival timings, rent-day notices — set them a week ahead and stop carrying them around in your head.

Send now for everything urgent.

Knowing Whether It Actually Reached Them

This is where a proper PG management app stops feeling like a messaging tool.

While a notice is going out, you see progress on screen — how many have been sent, how many failed, how many were skipped. Once it finishes, you can open the delivery record and see it resident by resident.

The three outcomes mean specific things:

  • Sent — the message was delivered

  • Failed — delivery was attempted but did not go through

  • Skipped — there was nothing to attempt, usually because that resident has no email address or no valid phone number saved

That skipped number is more useful than it looks. If the same eleven residents are skipped every single time, you do not have a messaging problem. You have eleven incomplete tenant records, and now you know exactly which ones to fix.

The delivery record is kept for six months. So when a resident disputes a charge in month four and says they were never informed, you are not arguing from memory. You have the date, the resident and the channel.

A few things worth understanding

If a notice does not fully go through and you send it again, residents who already received it are left alone. You can retry without worrying about spamming half your property twice.

If you stop a notice while it is going out, it stops future messages only. Anything already delivered cannot be pulled back. If half the building already has a message with a mistake in it, send a short correction rather than trying to undo it.

And once a notice has gone out, it cannot be edited. That is deliberate — a record you can change afterwards is not much of a record.

What It Costs

Announcements are charged only when they are actually delivered. Nothing that fails or gets skipped costs you anything.

Channel

Cost per delivered notice

Email

₹0.02

WhatsApp

₹0.40

A notice to 200 residents on both channels comes to roughly ₹84.

Put that beside one waived late fee, one reimbursed plumber visit, or one deposit argument you lost because you had no proof, and the comparison stops being interesting.

Why TrackMyPG Is the Best PG Management Software for Indian Owners

Plenty of tools can blast a WhatsApp message to a list of numbers. Almost none of them know anything about your property.

That is the difference worth paying for. With a generic bulk messaging tool you upload a spreadsheet of contacts. The moment someone moves in or out, that spreadsheet is wrong, and you find out when a former resident replies to a message they should never have seen.

With TrackMyPG, announcements sit on top of the records you are already maintaining every day:

  • Your rooms and beds are already mapped, so messaging rooms 101 to 105 is a matter of ticking boxes, not looking up who lives where.

  • Tenant status is already tracked, so residents on notice period are included or left out exactly as you intend.

  • Communication preferences are already saved, so what a resident asked for is respected across every message you send them.

  • All your properties are in one dashboard, so an owner running PGs in Bangalore and Hyderabad switches property and sends, instead of hunting for the right group.

  • Delivery is recorded, which matters far more than it sounds during a disputed checkout.

And notices are one small piece. The same tenant records drive automated rent reminders, invoice delivery, security deposit tracking, the tenant portal and support tickets. Your residents deal with one consistent system instead of five different tools messaging them from five different numbers.

For an owner still running everything on spreadsheets and group chats, announcements are usually where the difference is felt in the first week. It is the smallest change with the fastest payoff.

Getting the Most Out of It

Check the recipient count every single time. Two seconds, and it prevents the most common mistake by a wide margin.

Use drafts for anything sensitive. Rent changes and rule updates benefit from a second reading before they reach sixty people.

Schedule the predictable ones. If you know the cleaning crew comes on the first Saturday of every month, set the notice a week early and forget about it.

Clean up your skipped list. Twenty minutes filling in missing phone numbers and email addresses improves every message you send from then on.

Keep notices for announcements only. A notice goes out to a group; it is not a conversation. Individual complaints belong in support tickets, where they get tracked and closed properly.

What Notices Are Not For

Being clear about the limits saves everyone time:

  • No SMS. WhatsApp and email only.

  • No attachments. Text and formatting, not PDFs or photos.

  • No individual customisation beyond the resident's name. One message, everyone.

  • No editing or recalling a notice once it has gone out.

  • No replies. Residents respond through your usual contact routes or by raising a ticket.

Final Thoughts

Announcements are the most underrated part of running a PG. They are small, they never stop, and they are invisible until one of them goes missing. Then they turn into a refund, a waived fee, or a one-star review.

Moving them out of a WhatsApp group and into the software that already knows your residents costs a few paise per person and takes about a minute to learn. What you get back is accurate reach, scheduling that does not depend on your memory, and a record you can point to six months later.

If you are running more than thirty beds, or more than one property, this is one of the quickest operational upgrades available to you. Take a look at TrackMyPG and send your first notice today — most owners manage it within ten minutes of signing in.
